Hannah came to us with a problem: everything kept breaking. She is one of the very few owners we have met who had already tried automation and AI for her own company. She came back to us having given up.
Who Luna Sage is
Luna Sage is a cleaning company in Perth, trading since 2016. It looks after homes, offices and strata buildings, with 20 staff and 3 people in the office. It is the second business TAO runs, and the first outside our own.
What she had built, and why it broke
Hannah had been using Zapier, Manus and several other paid tools: complicated workflows to manage her leads, and invoices made in Canva. She is not technical, so every failure became her problem. Every fix was another thing she had to understand, and every new tool was another bill.
What we built
We ran the same process we run for every customer: discovery, build, connect and run. We connected WhatsApp, Connecteam for rostering, Xero, Zoom and Gmail, and added voice calls and SMS through Twilio. We built her a custom quoting tool and proper lead management.
From then on, Andy did the doing:
- Answers new leads and logs them in her lead management.
- Drafts quotes in her custom quoting tool, ready for her yes.
- Raises invoices in Xero and chases the unpaid ones.
- Keeps the roster in Connecteam up to date.
- Follows every job from booking to done.
- Tracks how the team is performing.
Every message and every change waits for a person to say yes. If something breaks, we fix it. She no longer pays for Zapier, Manus or the other tools she used. She doesn’t need them any more.
Six weeks
We delivered it in six weeks: discovery in week one, the build in weeks two to four, connected and live by week six.
The numbers
We estimate Luna Sage saves about $65,000 a year. It is an estimate, and a careful one, covering three things: fewer errors, staff hours saved, and the tools she no longer pays for. The business gets back about 20 hours a week.
The friction went too. The team stopped asking Hannah where things are. Leads, quotes and jobs no longer get passed on by hand. And nothing breaks that she has to fix herself.
What it took
The same three steps as every customer. Hannah did not need to be technical, and she did not need to build anything. That was the point. The full story is on the Luna Sage customer page, and the first one, from Chandeliers To Die For, sits beside it.
If that sounds like your business, contact us. We will walk through your version of the problem.
Questions people ask
Does every cleaning business save $65,000?
No. This is one business’s estimated figure. Yours depends on how your work runs today, and discovery is where we work it out honestly.
Do I need to be technical?
No. We build it, connect your tools through their official access, and stay to look after it.
What if I tried building it myself?
It is common. Many owners try, and many give up when it keeps breaking. You do not need to have got it right first.
